Zoom AI vs Microsoft 365 Copilot in 2026: pricing, features, and which to license

Short answer

The honest framing is that these products anchor to different ecosystems, and most organizations should decide based on where their documents and meetings already live, not on AI feature checklists. The pricing structures differ sharply. Zoom includes core AI features (meeting summaries, in-meeting Q&A, chat and email compose, phone call summaries) with paid Workplace plans at no additional cost, selling only its agentic tier, ZoomMate, as a $20 per user per month add-on. Microsoft monetizes its most advanced work-grounded Copilot capabilities through added licensing: Microsoft 365 Copilot at $30 per user per month (annual commitment, on top of a qualifying Microsoft 365 license), Teams Premium with intelligent recap at $10, and a Copilot Business SMB SKU listing at $21 with an $18 promotion through September 2026 (Copilot Chat and selected Teams AI capabilities are included with qualifying Microsoft subscriptions). Copilot's advantage is deep grounding in Microsoft Graph: your email, files, chats, and calendar. Zoom's advantages are price, meeting-first design, and cross-platform note taking that also covers Teams, Google Meet, and other third-party meetings.

Copilot is never standalone. Eligibility expanded well beyond the original E3/E5 list and now includes most Microsoft 365 and Office 365 commercial plans, but you still pay for the base license plus the add-on. Zoom's ZoomMate can be bought standalone. Verify current prices against vendor pages before committing; both vendors changed packaging repeatedly between 2024 and 2026. Also note Microsoft's April 1, 2026 Teams licensing change: some capabilities previously exclusive to Teams Premium (town halls, webinars, immersive events) are now included with Teams Enterprise, while intelligent recap and other intelligence, protection, and branding features remain in Teams Premium, and customers who bought Teams Premium before April 1, 2026 keep prior entitlements until expiration. Confirm tenant-specific licensing before using the $10 figure as a purchasing calculation.

How do the meeting AI features compare?

Microsoft. In Teams, Copilot provides real-time summaries during a meeting, in-meeting Q&A that can report who said what, suggested action items, and a catch-up summary when you join late. Post-meeting, the Recap tab supports open-ended prompting against the transcript, which requires transcription enabled. Intelligent recap (AI notes, chapters, speaker markers, mention jumps) ships in both Teams Premium and Copilot.

Zoom. Paid Workplace plans include meeting summaries with smart chapters and action items, in-meeting AI questions with late-join catch-up, and a side panel reaching across Meetings, Team Chat, Docs, Calendar, and Mail. AI Companion 3.0 (GA December 2025) added agentic retrieval across summaries, transcripts, and notes plus connected sources such as Google Drive and OneDrive, a post-meeting follow-up template, and agentic writing. Zoom Phone adds call summaries, voicemail prioritization, voicemail task extraction, and SMS thread summaries on paid accounts. Microsoft has a counterpart for calls: intelligent call recap generates AI notes and recommended tasks for one-to-one Teams calls, group peer-to-peer calls, and PSTN calls, licensed through Teams Premium or Microsoft 365 Copilot (PSTN recap also requires Teams Phone with a calling plan). Zoom's differentiation is the combination of call summaries, voicemail intelligence, and SMS summarization, not the absence of a Microsoft call recap capability.

Functionally, meeting summary quality is close enough that licensing cost and ecosystem fit should drive the decision. The differentiators sit at the edges: Copilot's post-meeting prompting against your whole Microsoft Graph, versus Zoom's voicemail and SMS intelligence and cross-platform coverage.

What about agents and automation?

Microsoft's agent story runs through Copilot Studio: agents are included with the Copilot license, and the free Copilot Chat tier can run agents pay-as-you-go. Zoom's runs through ZoomMate: agentic search across Zoom, the web, and enterprise systems (ServiceNow, Salesforce, Workday), task orchestration into Google Calendar, Outlook, Jira, and Slack, content generation from meeting context, and custom agents built from prompts (added June 2026), metered by AI credits. Routine features do not consume credits. Microsoft's platform is deeper for organizations building many custom agents; Zoom's is simpler to start and priced per user rather than per consumption for most included work.

Who covers meetings outside its own platform?

Zoom does, through two distinct mechanisms. Licensed users can invite Zoom's AI to join supported Microsoft Teams and Google Meet meetings as a visible participant that transcribes and summarizes. Separately, My Notes captures audio locally through the user's microphone and system audio, so on a third-party platform it does not necessarily appear as an attendee and the meeting host has no native control over it; organizations should address that distinction in consent and acceptable-use procedures. Usage is metered: three free My Notes uses per month, expanded on a paid ZoomMate tier, subject to Zoom's usage policies. Microsoft 365 Copilot's native meeting intelligence remains centered on Teams meetings and Microsoft 365 content, with no documented native Copilot notetaker for meetings on other platforms. For mixed-platform organizations, and most organizations that sell to or buy from others are mixed-platform in practice, this is Zoom's most underrated advantage.

How do the data protection commitments compare?

Both are strong on paper. Microsoft's Enterprise Data Protection states that prompts, responses, and data accessed through Microsoft Graph are not used to train foundation models, honors GDPR and the EU Data Boundary, and respects existing permissions, sensitivity labels, and retention policies. Zoom states it does not use customer communications content to train Zoom or third-party models, that its model providers operate under zero data retention, and offers ZMO and ZM+ deployment options that keep AI processing inside Zoom's infrastructure or trust boundary, plus FedRAMP JAB Moderate authorization on Zoom for Government. One asymmetry to note: Anthropic is now a Microsoft subprocessor, bound by Microsoft's own Data Protection Addendum, and Claude has been enabled by default in commercial tenants since January 7, 2026 — opt-out rather than opt-in, with EU/EFTA and the UK excepted — while Zoom's ZM+ routes Anthropic through Amazon Bedrock inside Zoom's trust boundary. Where does Google Gemini fit?

Google removed the line item entirely. In January 2025 it folded Gemini into Workspace Business and Enterprise plans, discontinuing the separate $20 Gemini add-ons and raising base plan prices modestly (Business Standard landed around $14 per user per month with Gemini included). That remains the state in 2026. For Workspace-native organizations, Gemini's included price makes the same argument against Copilot that Zoom makes: meeting and document AI as a plan feature, not a second subscription.

Is Zoom AI really free if Copilot costs $30?

Can I run both?

Many organizations do: Copilot for document and email work in Microsoft 365, Zoom AI for meetings and phone. The overlap cost is real, so decide which product owns meeting summaries to avoid duplicate records and retention sprawl.

Does Copilot work in the free Teams tier?

Microsoft 365 Copilot Chat is free for Microsoft 365 commercial users, but full Copilot requires the paid add-on on a qualifying license.

Which is better for meeting accuracy?

Both summarize well in ordinary conditions and both misattribute or omit under crosstalk and ambiguity. Neither vendor publishes benchmark accuracy. Pilot each against your own meetings and measure correction effort before deciding on quality grounds.
