How to automate meeting follow-up with Zoom

Short answer
Automating follow-up means the meeting's next email, Chat post, or CRM note is drafted from the transcript when the meeting ends, then approved by a person before it goes to a customer or a channel. Zoom's Auto Follow-up Email template does the draft-and-send path. ZoomMate Workflows plus Always ask is the path you should actually run.

Community: test mode takes real actions. Use a private channel or a colleague as the first recipient. Test runs count toward monthly usage.
Where should the follow-up go?
- Customer email — Auto Follow-up Email or Gmail node. Always ask. Never Always allow in production.
- Internal Slack or Zoom Chat — Meeting Summary to Slack, or a Chat post. Channel owners can block workflow posts. Include the workflow owner's name (Zoom displays it).
- No send, just a file — Drive or OneDrive. That is the summaries companion, not follow-up.
If the follow-up is "create the tasks," use Can Zoom automatically create action items? instead of emailing a list nobody will tick.
What makes follow-up automation fail?
- "All my meetings" sends a client recap after an internal compensation discussion.
- The draft claims a price, date, or commitment nobody approved. Pricing still needs a human (and at USA Telecom, CEO sign-off for quotes).
- 0-day My Notes retention: you cannot attach a follow-up workflow after the meeting. Attach it on the calendar event.
- Credits exhaust mid-month because every send uses a third-party node. Watch consumption in week one.

No. Zoom generates the mail from extracted points. Extraction can be wrong. Community guidance is to keep a human in the loop for customer messages.
Can I follow up from My Notes on my phone?
ZoomMate release notes describe attaching, reviewing, and approving workflows in My Notes on mobile, including expanded human-in-the-loop cards. Some actions consume AI credits. Confirm on your app version (desktop 7.0.5+ for My Notes workflows).
Does follow-up require ZoomMate?
A person can still paste a meeting summary into email without ZoomMate. Automatic draft-and-route is an agentic workflow. Zoom documents that for paid ZoomMate and Custom AI Companion users in the US, with a limited free run allowance.
What if we use Microsoft Outlook, not Gmail?
Zoom lists Microsoft among third-party workflow destinations in KB0085380. Confirm the Outlook / Microsoft 365 nodes in your builder. Do not assume a Gmail template sends through Outlook.
Should Autopilot include follow-up?
