How to build a ZoomMate workflow

Short answer

Build a ZoomMate workflow in one of three Zoom-documented ways: choose a template, describe it in plain English, or start with a node on the visual canvas. Then Run (real actions), Deploy (sets it Active), and attach it to the meeting or My Notes. This is the step-by-step companion. Conceptual Autopilot lives in the pillar.

What must be on before you build?

Path A: Template (fastest)

  1. Sign in to the Zoom desktop app or web ZoomMate.
  2. Open the ZoomMate tab (or More → ZoomMate). Sidebar: Workflows. Or the Workflows tab if shown.
  3. + Create → Choose a template (KB0085380). Or pick a card on Home.
  4. Filter Meeting Management (or Sales, HR, IT & Engineering).
  5. Open e.g. Send meeting summary to Google Drive / Meeting Summary to Slack.
  6. Set folder or channel. Set Action approval to Always ask for anything that leaves the team.
  7. Click Run to test. Test mode takes real actions. Use a dummy destination.
  8. Click Deploy. The workflow is Active.
  9. Attach it to the recurring meeting (Add workflow) or to My Notes. Max 20.

Path B: Plain English

  1. Workflows → + Create.
  2. Describe the sequence in order. Example: "When my weekly project meeting ends, save the ZoomMate summary to the Project folder in Google Drive, create Zoom Tasks for each action item, and draft a Zoom Chat message to the project channel. Ask me before creating tasks or posting Chat."
  3. Send. ZoomMate asks clarifying questions, then builds, then self-verifies (community guide).
  4. Adjust in the side panel or by editing nodes.
  5. Run, then Deploy.

Path C: Visual builder

  1. + Create → Start with a node → Triggers.
  2. Choose Meeting event. Event type: When the meeting ends. Which meetings: start with a specific series if the UI allows; Zoom's My Notes eligibility for user-created flows requires All my meetings plus meeting-ended — use conditions to skip the wrong meetings if you must use that setting.
  3. Time offset: 0 for immediately on end, or a positive delay if you want summary generation to finish first. Confirm in the node help; do not invent delays Zoom does not offer.
  4. Add action nodes (summary, Drive, Tasks, Chat). Drag variables between nodes.
  5. Add a Condition if needed (including AI Condition in natural language).
  6. Configure Always ask on sensitive actions and on AI Reasoning tool sets.
  7. Run, fix, Deploy.

Attach, approve, watch

  1. Before the meeting: calendar event → Add workflow → check workflows → Update. My Notes turns on for that meeting.
  2. During: start a note → Attach workflow to this note.
  3. After: open the note → Workflows → Attach more → Attach & Run (disabled under 0-day retention).
  4. Approve: Pending actions in ZoomMate or Workflows. Review, edit, Approve & continue, Allow once, or Cancel workflow. Admins can forbid Always allow.
  5. Logs: Activity logs tab: completed, failed, running, paused, timed out, terminated.

Mobile: ZoomMate release notes document attaching and HITL approval in My Notes on iOS/Android. Desktop remains 7.0.5+ for the My Notes workflow feature set we retrieved.

How do you build a ZoomMate workflow?

Template, plain English, or visual builder. Then Run (real actions), Deploy (Active), and attach to the meeting or My Notes. Meeting-ended trigger for post-meeting work. Always ask on customer email and CRM writes.

Where is Workflows in the app?

ZoomMate tab sidebar, or the Workflows tab (More if hidden). Web: Zoom Products → ZoomMate → Workflows. Admins must enable Workflow Automation and Create & Share for user-built flows.

Does test mode send real Slack messages?

Community: test mode takes real actions. Test against dummy destinations. Test runs count toward monthly usage.

How many workflows can one meeting have?

Zoom KB0085721: up to 20 per note or meeting.

Can I share a workflow with a colleague?

Yes after Deploy. Recipients can view; they save a copy to edit. Admins can publish templates to groups instead.

What license do I need?

Zoom KB0085380: agentic workflows for paid ZoomMate and Custom AI Companion users in the US; free users up to 10 runs per month. AI-powered and third-party nodes consume Zoom AI credits and need a ZoomMate license. Confirm live Zoom pages for your region and vertical.
