How to automatically send Zoom meeting summaries
Product names, licensing, workflow templates, My Notes attachment rules, and admin controls were checked against Zoom documentation on 28 August 2026. These details change. Confirm against live Zoom pages and your own tenant before you buy, enable workflows, or write to a system of record.
Short answer
Zoom can generate a meeting summary without ZoomMate. Automatically sending or filing that summary is a ZoomMate workflow: meeting ends → use the ZoomMate AI summary (updated templates) → Gmail, Slack, Salesforce, Google Drive, or OneDrive. Core summaries do not consume AI credits. The send/file nodes that use third-party connectors do.

What is included versus what is a workflow?

July 2026 ZoomMate change (community + release notes): meeting-summary templates use ZoomMate's AI-generated summaries instead of a separate AI reasoning node, which Zoom says is faster and consistent with the in-product summary.
How do you send summaries automatically?

Attach the workflow to the recurring meeting so My Notes is on and the run shows on the note for approval. Maximum 20 workflows per meeting.
Is the summary the official record?
No. Keep CRM, project tools, and your records policy authoritative. Summaries can be wrong. If 0-day My Notes retention is on, the transcript does not stay in My Notes; a Drive copy you filed is a separate retention decision you must own. How do you automatically send Zoom meeting summaries?
Turn on meeting summary, then publish a ZoomMate workflow with a meeting-ended trigger to Drive, OneDrive, Slack, Gmail, or Salesforce. Updated templates use the ZoomMate summary. Always ask before external email. Third-party sends consume AI credits.
Does sending a summary require recording?
No. Meeting summary is separate from cloud recording. Workflows that use My Notes need transcription settings on.
Is the Drive template the same as Slack?
Same trigger, different action node and connector. Drive creates a document in a folder. Slack posts to a channel. Channel owners can block workflow posts.
Do summaries consume ZoomMate credits?
Zoom states routine meeting summaries and AI note taking do not consume credits. Filing them through third-party workflow nodes does.
Can free Zoom accounts do this?
Free users get limited My Notes and limited agentic-workflow runs (Zoom: up to 10 per month). Paid ZoomMate / Custom AI Companion in the US is the documented path for the full builder. Confirm live Zoom packaging.
Should Autopilot email the summary to all invitees?
Usually no. File internally, draft a shorter follow-up, Always ask. Mass-emailing the transcript-like summary is how confidential meetings leak.
